Conference Guide for Onsite and Online Participants

This guide outlines the procedures and expectations for both onsite and online participants during the Nutral Conference in Computer Science and Cutting-edge Technology (CSCT) 2025. Please review the following details carefully to ensure a smooth and successful presentation experience

General Guidelines for All Participants

  1. Technical Preparation: Whether onsite or online, all participants are encouraged to conduct a test run of their presentation setup to ensure there are no technical issues during the event.
  2. Adherence to Schedule: All participants, onsite and online, must adhere to the presentation schedule and time limits provided by the organizing committee to ensure smooth transitions between sessions.
  3. Respectful Interaction: Participants are encouraged to engage in respectful dialogue during Q&A sessions, and moderators will oversee these discussions to maintain a professional and inclusive environment.

Onsite Participant Guidelines

  • Single Forum Presentations: All onsite presenters will deliver their presentations in a single forum. There will be no parallel sessions for onsite participants.
  • Zoom Access During Presentation: Presenters must join the Zoom meeting using their laptops during their scheduled presentation time. The camera should remain active throughout the presentation, but the microphone must be muted unless responding to questions during the Q&A session.
  • Presentation Method: Presentations will be conducted from each presenter’s laptop by sharing their screen via Zoom. A podium will be provided for this purpose, and presenters should be ready to project their presentation slides using the conference’s Zoom platform.
  • Moderated Sessions: Each session will be led by a designated moderator, who will introduce the presenters, manage the time, and facilitate the Q&A.
  • Time Allocation: Presenters will have a maximum of 15 minutes to present, followed by a 10 minutes Q&A session. It is crucial to adhere to this time limit to ensure that all participants have an equal opportunity to present.
  • PPT Template Requirement: Presenters are required to use the official PowerPoint template provided by the conference organizers for consistency in presentation design. Failure to use the template may result in presentation delays. (The PPT template is still in development. Once it’s done, you can download it here)
  • Technical Requirements: Ensure that your laptop is fully charged, and bring necessary adapters if needed. A technical support team will be on standby to assist with any technical issues during the presentation.

Online Participant Guidelines

Online participants have the option to present through live presentation or pre-recorded video presentation.

  1. Live Presentation via Zoom:
    • Real-Time Presentation: Online participants presenting live will deliver their presentations via Zoom from their respective locations, following the schedule provided by the conference.
    • Zoom Access: Presenters must log into the Zoom session at least 15 minutes before their scheduled presentation time to ensure smooth connectivity and technical checks.
    • Presentation Time: The presentation will follow the same format as onsite participants: 15 minutes for the presentation and 10 minutes for Q&A. The moderator will manage the session and facilitate questions from the audience. (The PPT template is still in development. Once it’s done, you can download it here)
    • PPT Template: As with onsite presentations, online participants must use the provided PowerPoint template for their presentation slides.
  2. Video-Based Presentation:
    • Pre-Recorded Submission: Online participants opting for a video-based presentation must submit a pre-recorded presentation video ahead of the conference. The video will be displayed on the conference website during the event.
    • Video Display and Interaction: The pre-recorded video will be available for viewing during the scheduled session. While the video plays, participants can engage in live Q&A via chat, located below the video, to interact with viewers and respond to questions in real time.
    • Video Specifications: The video should be no longer than 15 minutes and should be in a high-quality format (MP4). Detailed instructions for video submission will be provided upon registration.

Parallel Sessions

Parallel sessions are exclusively available for online presenter who select the 'Live Presentation' option. The full schedule and room assignments will be announced once all presenters are finalized, no later than one month before the event. Do not miss this opportunity to present live!
